Contact and inquiry data: When you contact us or submit a form, we collect your name, email address, phone number, company name, budget range and project details.
Portal account data: When you create a client portal account we collect your name, email address and profile picture (via Google Sign-In or email verification), and any company details you provide during onboarding.
Billing data: For invoicing and tax compliance we collect billing name, address, GSTIN/PAN where applicable, and records of payments received. We do not store card numbers or banking credentials; payments are processed by regulated payment providers.
Social media account data (managed clients only): If you engage our social media management services, we store the account identifiers and access tokens you authorise via each platform's official login flow (for example Meta, X, Google/YouTube, LinkedIn). Tokens are stored encrypted and are used solely to create, schedule and publish content, and to read engagement data, on your behalf and with your authorisation. You can revoke this access at any time from the platform's security settings or by written notice to us.
Usage data: We automatically collect information about how you interact with our website, including pages visited, time spent, browser type and referring URLs.
We use three categories of cookies, matching the choices in our cookie consent banner: (1) Essential cookies, required for site functionality and portal login sessions — these cannot be disabled; (2) Analytics cookies, used to understand visitor behaviour, set only with your consent; (3) Marketing cookies, set only with your consent. You can change your preferences at any time via the cookie settings button on our site or through your browser settings. Withdrawing consent does not affect the lawfulness of processing before withdrawal.
We process personal data to: respond to inquiries; prepare quotes and proposals; provide and manage our services, including software development and social media management; operate the client portal; generate and publish social media content on behalf of clients who have authorised us; issue invoices and maintain accounts as required by tax law; send project and service updates; improve our website and services; and comply with legal obligations. We process data on the basis of your consent, the performance of a contract with you, or our legal obligations. We never sell your personal data.
Some of our services use third-party AI providers (for example, Anthropic) to assist with drafting content, documents and analysis. Inputs sent to these providers are limited to what is necessary for the task (for example, a content brief and brand guidelines). We do not submit more personal data to AI providers than the service requires, and AI-generated client content is always subject to human review before publication.
We share personal data only with service providers who process it on our behalf and only to the extent necessary: web hosting and infrastructure providers; email delivery services (Zoho Mail); Google (sign-in authentication); social media platforms you have connected (Meta, X, Google/YouTube, LinkedIn and similar); AI service providers as described above; analytics providers, where you consent; and payment processors when you make a payment. Each provider is bound by its own data processing terms. We may also disclose data where required by law, court order or a competent authority.
Contact form inquiries are retained for up to 24 months. Client account and project data is retained for the duration of the business relationship and deleted on verified request, except where retention is required by law. Invoices and accounting records are retained for 8 years as required by Indian tax law. Encrypted social media tokens are deleted when you disconnect the account or when the engagement ends.
We implement industry-standard security measures including SSL/TLS encryption in transit, encrypted storage of credentials and access tokens, role-based access controls, and regular security reviews. No method of transmission or storage is completely secure; if we become aware of a personal data breach affecting you, we will notify you and the competent authority as required by applicable law.
As a Data Principal under the Digital Personal Data Protection Act, 2023, you have the right to: access a summary of your personal data and the processing activities; correction, completion and updating of your data; erasure of your data where it is no longer necessary; grievance redressal; and to nominate another individual to exercise your rights in the event of death or incapacity. To exercise these rights, email info@alokknight.com. We may need to verify your identity before acting on a request.
If you are in the EU/EEA, you additionally have the right to: access your personal data; request correction or deletion; restrict or object to processing; data portability; withdraw consent at any time; and lodge a complaint with your local supervisory authority. Our processing of EU/EEA data rests on consent (Art. 6(1)(a) GDPR), performance of a contract (Art. 6(1)(b) GDPR), or compliance with legal obligations (Art. 6(1)(c) GDPR).
Your data is processed and stored in India and on the infrastructure of our hosting providers. If you are located outside India, you acknowledge that your data will be transferred to and processed in India, where we protect it as described in this policy and, for EU/EEA data, subject to appropriate contractual safeguards.
Our website and services are directed at businesses and are not intended for children under 18. We do not knowingly collect personal data of children. If you believe a child has provided us personal data, contact us and we will delete it.
